Data Search
Data Search is the main Cityscope Online search engine.
Common Criteria (Quick Searching)
Almost all data fields can be searched on. To make it easier to find the commonly searched fields they are grouped together at the top of the Data Search page under the "Common Criteria (Quick Searching)" section heading.
To enter numeric search criteria (numbers, dates, dollar values, years) entries should be made in either the "Exact", "From" and/or "To" boxes.
Examples:
Properties refurbished in 1995...
Properties built since 1980 (inclusive)...
Leases expiring in the second half of 2005...
Properties 10 storeys or less...
Entering text-type search criteria requires entry of the criteria you want to search on in the main box, with multiple values separated by semi-colons (;). In addition to this you also need to consider the settings in the "Is/Is Not" option and the "Containing/Starting/Exactly" option.
NOTE: Settings in the "Is/Is Not" and "Containing/Starting/Exactly" options are set the way we think most users will want them based on our knowledge of our own data.
Examples:
Properties in Queen Street -
This Queen Street search would actually return records from Queen Street, Queen Lane, Queen Avenue, etc, because we have specified Street Name starting with "Queen".
The second Queen Street search uses the full "Queen Street" search criteria and specifies that the street name must exactly match.
Leases where the Classification is not commercial or retail -
This example makes use of the semi-colon (;) to specify multiple criteria, in this case commercial and retail. The "Is/Is Not" option has been changed to "Is Not".
Note: The full text "commercial" and "retail" is not required, so long as there are enough characters to uniquely identify the classification.
Once you have entered your criteria, click this button to run your search.
The number of properties or leases returned by your search. You will see the "No criteria entered" message if you haven't entered any search criteria or if all the criteria you have entered are invalid.
Click this button to view the results of your search. There are two further options when viewing the results of a search. These are to "Replace existing" or "Add to existing". Existing refers to property or lease records that you were viewing before running this search.
NOTE: You must select "View Search Results" to make the records returned by your search active. If you have not clicked "View Search Results" and you select an item such as "Sort", "View" or "Mailings" from the Main Menu, Cityscope Online will use the property or lease records retrieved prior to entering Data Search, NOT the results of the search.
Search Errors and Invalid Entries
This box displays any search errors or invalid search criteria entries. Validation of the search criteria entered is done at the time of running the search, NOT at the time of entering the criteria. If Cityscope Online encounters invalid search criteria it will display the cause of the error in this box, skip the search criteria that caused the problem and continue with any other search criteria.
Examples:
A Building Name search where the criteria includes an apostrophe, eg Smith's Building.
A Sale Price search where the "From" criteria is greater than the "To" criteria, eg: Sale Price From 10000000 to 500000.
The search results breakdown table outlines the number of hits returned by the individual search criteria in each of the Cityscope areas in the "Set Search Areas".
NOTE: Results for criteria entered in the "Sales Criteria" and "Ownership" groups are NOT shown by Cityscope area, they are shown as a total.
Click this button to clear existing search criteria and start again.
Search Within Currently Selected Properties or Leases
Check this box to run your search against only the property or lease records retrieved prior to entering Data Search.
How this might be used:
Let's say you had searched for all properties which had last sold for between $5 million and $10 million dollars.
On viewing the results, you realised that your search results included retail and commercial properties but you only wanted commercial.
If you went back into Data Search, entered Classification criteria of "commercial", checked the "Search within currently selected properties" box, and clicked "Search"; your search would only return "commercial" properties in your original list.
The advantages of doing the search refinement in this way are:
1) You don't need to re-enter your original criteria, and
2) Any properties you removed from the list manually are NOT returned back into
the list as they would be if you re-entered all of the original criteria.
Search fields have been logically grouped under different section headings. These section headings are listed as "Quick Links" and can be moved to by clicking the section heading name.
To move from anywhere on the Data Search page back to the top of the page (where the "Search" button is located), click a "return to top" link. These links can be found in all of the dark green section headings.
